This Privacy Policy describes how Xynthian (“Xynthian,” “we,” “us,” or “our”), headquartered in Toronto, Ontario, Canada, collects, uses, and retains information when you use our product and related services (collectively, the “Service”).

Please read this Privacy Policy carefully. By using Xynthian, you acknowledge that you have read, understood, and agree to the practices described herein.

Important Notice Regarding Data Collection and Use

Xynthian requires the collection and processing of audio recordings and related interaction data in order to function. This information may include your voice input, background sounds, and transcripts generated from your use of the Service.

Currently, all session data (voice recordings, transcripts, device information, and related usage data) is stored for as long as necessary for the fulfillment of its purposes and may be accessed and reviewed by human personnel for the purposes of improving accuracy, functionality, and overall user experience.

If you are not comfortable with your voice data, background audio, or interaction history being retained indefinitely and subject to human review, you should not use Xynthian.

We may provide options in the future to limit or restrict retention and review, but such controls are not available at this time.

1. Information We Collect

When you use Xynthian, we collect the following:

  • Voice Recordings and Transcripts: Audio input captured by your device’s microphone and corresponding transcripts.

  • Usage Data: Session activity such as commands, features accessed, and error logs.

  • Device Data: IP address, operating system, device identifiers, and related technical details.

  • Account Information: If you register, we collect your name, email, and login credentials.

2. How We Use Your Information

We use the collected information to:

  • Operate and deliver the Service.

  • Improve accuracy and performance, including through human review.

  • Develop new features and functionalities.

  • Provide customer support and troubleshooting.

  • Comply with legal and security requirements.

3. How We Share Your Information

We do not sell your personal information. We may share your data in the following limited circumstances:

  • Authorized Reviewers: Employees or contractors, bound by confidentiality obligations, may review recordings and transcripts.

If you are not comfortable with this retention policy, you should not use Xynthian.

We implement reasonable technical and organizational measures, including encryption and access controls, to safeguard your data. However, no system is completely secure, and we cannot guarantee absolute protection against unauthorized access.

6. Your Choices

Given the current functionality of Xynthian:

  • Use of Service: Your primary choice is whether or not to use the Service, with the understanding that session data is retained indefinitely and may be reviewed by humans.

  • Opt-Out of Retention/Review: At present, there is no option to restrict session data from being saved or reviewed. We may introduce such an option in the future, but it is not available at this time.

  • Stopping Collection: You may stop the collection of audio and usage data at any time by ending your session. However, data collected prior to that point will still be retained and subject to review.

7. Children’s Privacy

Xynthian is not intended for children under 18. We do not knowingly collect personal data from children. If such data is discovered, we will delete it promptly.

8. International Transfers

Your data may be stored and processed outside of Canada, including in jurisdictions such as the United States or the European Union. Where international transfers occur, we will apply appropriate safeguards consistent with Canadian privacy laws.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Effective Date” and provide notice where required by law.
